Refund and Cancellation Policy

At-a-glance

We are HVX SYNDICATE LLC, a Wyoming limited liability company doing business as Doxia Axis. We provide AI consulting and automation services to businesses (B2B). All fees are non-refundable across every engagement tier — from our lowest fixed-scope offer to enterprise builds. This page explains why, what happens in edge cases, and how to raise a billing dispute. This Policy is incorporated by reference into our Terms of Service (Section 9.2). 1. The default rule

All fees paid for our Services — including deposits, retainers, and first payments under fixed-scope or recurring engagements — are non-refundable once paid. This applies to every engagement tier we offer, including the entry-tier fixed-scope offer (currently priced from USD 500). The rule applies regardless of how quickly notice is given after payment.

2. Why we work this way

Doxia Axis engagements are not impulse purchases. Every paid engagement is preceded by a scoping conversation in which we walk through scope, deliverables, timeline, price, and assumptions. You receive a written Engagement Agreement reflecting that scope before any payment is requested. Acceptance of the Engagement Agreement and payment of the first invoice represent informed B2B acceptance of those agreed commercial terms.

Once accepted, we begin allocating delivery capacity, scheduling windows, briefing collaborators, and producing Deliverables tailored to your business. These resources are committed and are not recoverable if a Client subsequently changes their mind.

3. If you cancel before delivery completes

You may cancel an Engagement Agreement at any time by written notice to contact@doxiaaxis.com. Fees already paid remain non-refundable. No further fees become due for work not yet performed under a fixed-scope engagement. Recurring engagements (monthly retainers and similar) remain subject to their stated notice period; fees for the notice period itself are payable in full.

4. If we fail to deliver

If we materially fail to deliver an agreed Deliverable after a reasonable opportunity to cure the failure, we may, at our sole discretion, offer one of the following:

  • A re-scoped Deliverable equivalent in scope to the original;
  • A credit against a future engagement, valid for twelve (12) months;
  • A partial refund proportional to the undelivered work, paid via the original payment method.

Any such election is exhausted by the option offered by us and accepted by you. We do not offer monetary refunds for work that has been substantially delivered, even if a Client is dissatisfied with the qualitative outcome.

5. Disputes and chargebacks

Before disputing a charge with your bank, card issuer, or payment processor, you must contact us at contact@doxiaaxis.comwith the subject line “Billing dispute — [Engagement reference]”. We aim to resolve fee disputes informally within ten (10) business days.

Initiating a payment-processor chargeback without first attempting informal resolution is treated as a material breach of the Engagement Agreement. We may suspend Services, withhold Deliverables and access credentials, and recover collection costs — including legal fees and processor dispute fees — under our Terms of Service.

6. Mandatory legal rights

Where the law of a jurisdiction in which our Services are deemed to be supplied requires a refund or cancellation right that cannot be excluded by contract — including statutory consumer-protection rights applicable by force of law — that right is honoured in full. Our position is that Doxia Axis Services are supplied to businesses and not to consumers; but where a consumer-rights regime nonetheless applies by mandatory law, we comply with it.

Nothing in this Policy limits liability for fraud, gross negligence, or wilful misconduct on our part. Those remain governed by our Terms of Service.

7. Discretionary goodwill credits

We occasionally extend a goodwill credit at our sole discretion when circumstances warrant it. To request a goodwill credit, email contact@doxiaaxis.comwith the subject line “Goodwill credit request — [Engagement reference]” and a short description of what happened. We respond within ten (10) business days. Granting any past credit creates no expectation, precedent, or contractual right to future credits.

8. Relationship to our Terms of Service

This Refund and Cancellation Policy is incorporated by reference into our Terms of Service at Section 9.2. In the event of any conflict between this Policy and the Terms of Service, the Terms of Service control. Capitalised terms used in this Policy and not defined here have the meanings given in the Terms of Service.

9. Changes to this Policy

We may update this Policy from time to time. The version and effective date at the top of this page indicate the current edition. Material changes will not apply retroactively to engagements already accepted under a prior version.
